FIRST CONNECTION

We begin the process by getting to know YOU! This starts with a consultation call where we explore your travel profile and how it relates to this particular trip. We discuss travel time, seasons, and budget, as well as your interests and wishlist so that you can be confident that your destination and itinerary are perfectly suited to you.

If we mutually feel that our services would be a good match for your special trip, we will send you an invoice for the Planning Fee. It is important to note that this fee does not go towards any fees associated with your booking, it simply covers our expertise and our time curating this unique, unforgettable travel experience for you! 

Every Roam Travel Company client is a VIP and receives the very best rooms and top level of care. Due to our personal relationships, you will have access to special RTC Amenities such as complimentary upgrades based on availability, daily breakfasts and hotel/spa credits at all of our preferred partner hotels.

 

CUSTOM PROPOSAL CREATION

Upon receipt of your Planning Fee payment, we reach out to our partners and start the process of curating your perfect itinerary. We assist with the following services:

  • Airfare including Private Charters

  • Accommodations including Luxury Hotels, Private Villas, Safari Lodges

  • Private Transfers

  • Unique Experiences and Private Tours

  • Spa Treatment Reservations

  • Dining Reservations

  • Private Dinners and Events

Your first proposal will be presented in our custom Vamoos app, which includes vivid imagery, a day-to-day itinerary, a flight tracker, weather guide and all of your important documents.

The pricing of your itinerary will be presented in a per person packaged price with a clear list of inclusions and exclusions. Our proposal will outline the deposit and final payment costs, as well as summarize the hotels and activities we have specially picked for you.

Once you feel that your itinerary is perfect, we will start confirming services and discussing special requests.

 

FINAL DOCUMENTS

Approximately 7-10 days prior to your trip start date, you will receive your final documents. Your Vamoos app will be updated with pick-up times, spa and restaurant reservations, a packing list, recommended gratuities, emergency contact information, and all other necessary details for a successful trip. We will also upload your flight confirmations and activate your flight tracker so you can stay informed of any delays or schedule changes.

While you are away, you will have 24/7 access to us (Charlotte + Kait) as well as our local office in your destination.

Before you depart, we reach out to our personal contact at your hotels to remind them that you are VIP clients of ours.  This ensures you are well cared for and looked after before, during and even upon your return home from abroad!
